The Workspace-versus-365 fight usually comes down to one question: does your team live in real-time collaboration or in heavy spreadsheets? If three people edit the same doc at once and nobody emails versions back and forth, Workspace is the cleaner answer. If your finance person has a 40-tab Excel model with macros, push them to 365 and save everyone the pain.

We move SMBs to Workspace when collaboration is the job and the desktop Office muscle memory isn’t load-bearing. It’s less to manage, and the admin console is friendlier for a business without dedicated IT.

Who it’s really for

Small teams and service businesses that work in the browser - shared docs, shared calendars, Gmail, Drive, Meet. Owner-run companies that want one vendor for email, storage, and video without standing up or patching a single server.

Where it fits in your stack

It’s the foundation the rest of your stack sits on - identity, email, files, and the single sign-on hook into everything else. Two things SMBs underrate: the security settings (anti-phishing, external sharing controls, 2-step enforcement) ship loose by default and need tightening, and Workspace data needs its own backup - Google keeps the lights on, but it won’t restore the folder your employee deleted last month. We harden the tenant and add backup so “Google has it” isn’t your recovery plan.

What to watch out for

The Office compatibility gap is real - files round-trip mostly fine, but complex formatting and macros don’t survive the trip. Per-user pricing climbs as you add storage tiers and Vault. And the default security posture is permissive, so a fresh tenant is not a secure tenant until someone configures it.

Pricing reality

Per user per month, with the entry Business tier in the single-to-low-double digits and higher tiers adding storage, Vault retention, and stronger security controls. It generally undercuts the comparable Microsoft 365 plan - but compare the tier you actually need, including security and retention, not the cheapest line item.
