Dropbox does one thing better than anyone: sync. Files appear everywhere, fast, without drama, even with huge folders and flaky connections. If your team lives in big files and the sync being reliable is the difference between a good day and a lost afternoon, Dropbox is still the one.

The problem is rarely Dropbox - it’s that most SMBs already pay for Google Workspace or Microsoft 365, which include storage they’re not using. We bring Dropbox in when sync is the actual pain point. We talk clients out of it when they’re about to pay for cloud storage a second time.

Who it’s really for

Businesses whose work is large files: architects, agencies, video and photo shops, construction teams passing plans around. Anyone who’s been burned by another tool’s sync silently dropping a file and wants the one that’s proven to handle volume.

Where it fits in your stack

Dropbox becomes the shared file layer - the place the big stuff lives and syncs. The two things SMBs underrate: external-sharing controls ship loose by default and need tightening, and “Dropbox has it” is not a backup plan - a synced delete propagates everywhere, so you still need real versioned backup behind it. We harden the sharing settings and add backup so a bad sync isn’t a bad week.

What to watch out for

The overlap with storage you already own is the real cost - do the math before adding it to a Workspace or 365 shop. Per-user pricing climbs with the storage tiers. And sync is a double-edged tool: it spreads good changes and bad ones equally fast, so loose permissions and no backup turn one mistake into a company-wide one.

Pricing reality

Per user per month on the business plans, scaling with storage and admin features. It’s competitive for what it does, but the honest comparison isn’t Dropbox versus nothing - it’s Dropbox versus the Drive or OneDrive already in your subscription. Pay for it when sync is the job, not by default.
